Create Recurring Cases in Microsoft Dynamics CRM Using Workflows

 

  • In CRM, Navigate to the Workflows area. Settings > Workflows

 

  • Give the Workflow a meaningful name.
  • Set the Entity value to Case.
  • Select New Blank Workflow and click ok.

     

  • Leave Workflow Name and Publish As the same.
  • Change the Scope to Business Unit – This allows the case to be available for everyone.
  • Uncheck all Automatic options to Start when:You want to have control of when your recurring case starts.
  • Under Available to Run Check On Demand and As a child workflow

Now add your workflow steps.

  • You will first add a step that creates the case. Add Step > Create Record
  • Give the step a name and chose the Case value for Create:
  • Click Set Properties to setup the actual case that will appear in the Cases area when the case is automatically generated.

  • Fill in the appropriate details as you would when manually making a case and Save and Close.

     

  • Add a wait condition step to the next step in the workflow.
  • Click <condition>(click to configure) to add the duration you want the case recur. (e.g. 30 days)

     

  • Select Workflow, Timeout,
    Equals and under Form Assistant select Month, Days, Hours and/or Minutes. In this example I will select 30 Days.
  • In the drop down box right below select Duration

    We are saying here: When this workflow is started, to wait 30days before it creates a case.

  • Save and Close

  • Save and close your workflow and you should now see it in your list of workflows.

     

  • Double click to open the workflow you just created and now let’s create the last step of the workflow.
  • Add the step Start Child Workflow
  • Select the Case value for Start child workflow.
  • In the next box to the right browse and select the name of this workflow (e.g. Recurring Case 1).

     

    To summarize: Create a case, wait 30 days, then call the same workflow again. 

  • Finally click Publish to finalize this workflow.
  • To start the workflow go to Services > Cases > Run Workflow and select the workflow from the list.

Now you have a automatically recurring case.

Note: To edit the workflow you must first Unpublish the workflow before any changes can be made. 

Caution!!! You must Unpublish the workflow to stop the workflow from running forever.
